The framework

  • Privacy Act 1988 and the APPs apply to many services (and to app vendors handling personal information), with heightened expectations around children.
  • National Quality Standard (Quality Area 6) emphasises collaborative partnerships with families — daily communication is central.
  • Service policies under the National Regulations should cover photographs, digital sharing and social media.

Separate family-only sharing from group sharing and public use. Record each child's tier on their profile in the system that does the sharing, so it is enforced automatically. Wording in our consent policy template.

Apps: what to ask

  • ✓Where is data hosted? Is Australian or regional hosting available?
  • ✓Is consent recorded per child and enforced for group and public sharing?
  • ✓Is there an approval step before families see content?
  • ✓Do images ever sit in an educator's personal gallery?
  • ✓Retention, deletion and export — for the service and for families
  • ✓Any facial recognition or biometric processing?

Documentation that families see

Learning stories remain the reflective record. The daily moment — one child, one photo, one line — is what families open at 5:40pm. Many services run both; see pedagogical documentation parents actually see.
