Day 0 — decide and prepare

  • Roster uploaded; consent tiers recorded per child.
  • Every teacher has done the one-hour photo-policy induction.
  • Invite codes ready by SMS/WhatsApp/email.

Day 1 — announce it as *more*

“From Monday, every family will receive photos of their own child — not just group shots — in a private app approved by the school. Nothing changes about how much you'll see. Everything changes about how personal it is. Your invite code is below; it takes two minutes.”

Days 1–10 — run both

  • Post each moment in the app. In WhatsApp, post a single line: ‘Today's moments are in the app — tap to see your child.’
  • Front desk helps stragglers at pick-up. Aim for 90% onboarded by day 7.
  • Send the first room postcard on Friday from the app only.

Day 10 — announce the close

“The class WhatsApp groups will close on Friday. Photos now live only in the app, where the school approves every post and each family sees their own child. Emergency notices will continue by SMS.”

Day 14 — close

Archive the groups. Keep one broadcast-only emergency channel if you must. Share the ‘families who saw their child this week’ number with staff.

Why bother at all: WhatsApp groups vs a school app.
